2. How We Utilize Your Information
Your data is utilized to streamline professional execution and facilitate high-value deals.
- Operating the System: Management of your account, operation of the discovery engine, and maintenance of the Deal Room infrastructure.
- Standardizing Workflows: Transmission of formal offers, tracking of Kanban milestones, and logging of activity timelines between transacting parties.
- Platform Evolution: Analysis of usage trends for bug resolution and feature development, including the training of proprietary recommendation algorithms.
- Professional Communication: Issuance of administrative emails, critical security alerts, and transactional notifications (e.g., "New Offer Received").
3. Data Sharing and Visibility
CollabKaro operates as a two-sided professional ecosystem where certain visibility is necessary to facilitate marketplace connections.
- Marketplace Visibility: To facilitate professional matching, certain data is visible to other registered users. Creator public profiles (including avatars, niches, and portfolio items) are visible to Brands. Brand campaign briefs are visible to Creators to solicit qualified applications.
- Data Segregation Protocols: We utilize industry-standard data segregation protocols to ensure that proprietary brand strategies and negotiated creator rates remain strictly confidential, never leaked to competitors or utilized for cross-platform advertising.
4. Deal Room Confidentiality and Access
The Deal Room is a secure sanctuary designed for private professional engagement and transactional confidentiality.
- Strict Confidentiality: Data generated within a specific Deal Room—including chat messages, file attachments, negotiated financial terms, and revision notes—is strictly confidential and is accessible only by the involved Brand and Creator.
- Intellectual Property (IP) Clarity: While CollabKaro provides the secure infrastructure for revisions and approvals, we assert no ownership over the content produced. All IP rights are governed by the specific contractual terms negotiated between the Brand and the Creator within the private Deal Room.
- Dispute Mediation Access: To maintain our position as the 'Trust Layer,' our mediation team may only access Deal Room logs if a formal 'Dispute' is initiated by either party. This intervention is logged, audited, and strictly confined to the specific transaction in question.
5. Data Security
We serve as the singular source of truth for your professional partnerships, employing mathematical and regulatory safeguards.
- Mathematical Security: We utilize Row Level Security (RLS) on our databases to restrict access, ensuring users can only access Deal Rooms in which they are a participant.
- Encryption: Data transmission is protected via HTTPS/TLS, and data at rest is secured using industry-standard encryption protocols.
- Audit Trails: Comprehensive deal history and payment confirmations are permanently preserved to eliminate contractual uncertainty and provide complete accountability.
- Regulatory Compliance: As an India-first platform, we adhere to the Digital Personal Data Protection (DPDP) Act, ensuring that your professional data is managed with the highest degree of regulatory compliance required for Indian business entities.
6. Your Data Rights
You retain control over your professional data footprint. You possess the following rights concerning your Personal Data:
- Access & Portability: The right to request copies of your personal data or its formal transfer to another organization.
- Rectification: The right to request the correction of any data you believe to be inaccurate or incomplete.
- Erasure ("Right to be Forgotten"): The right to request the deletion of your data, subject to necessary legal and financial audit requirements, such as Goods and Services Tax (GST) compliance.

- Data Retention: Deal Room data is retained indefinitely as a permanent, legally auditable trail for both transacting parties, unless an account is permanently deleted or mutual deletion of the transaction is formally requested.
- Policy Evolution: We reserve the right to update this policy to reflect necessary operational, legal, or regulatory changes. The "Last Updated" date will consistently reflect the date of the most recent revision.
- Notification History: Notification history is retained for a maximum period of 7 days, after which it is automatically and permanently deleted.
